How Does Quality Control Work at Woodiq? – Case Study
Browsing websites, you might get the impression that every company advertises itself as exceptional in terms of quality. When I founded the Woodiq wooden products wholesale business, I was convinced that my assortment would be the best. However, life quickly verified this naive approach.
I will share one of many stories that have shaped and continue to shape my approach to business and customer service over nearly four years of running the company.
Cost Greater Than Profit
At the end of the first year of operation, we were fulfilling an exceptionally large order for a regular client from Germany, based on a custom design. When receiving the goods from the manufacturer, I noticed unusual discolorations on some products but considered them natural characteristics of wood. However, this turned out to be a serious mistake.
The client rejected more than 20% of the delivery due to fungus-infected wood. I took full responsibility for the situation and covered all costs associated with the defective products and the additional quality control conducted by the client. The incurred costs exceeded the profits. My hopes for the success of this large project were dashed, leading to serious doubts about the future of my company. I then began to understand why many businesses fail after the first year of operation.
Honest Apologies
Unexpectedly, the entire situation brought unforeseen consequences: the client, appreciating my transparency and willingness to resolve the issue, suggested that we settle during the next order. In the end, we still collaborate to this day. The manufacturer also showed great understanding and decided to share in the costs, and we continue to cooperate with them as well.
Quality Control is Fundamental
This experience proved to be very valuable – it taught me that thorough quality control and an open approach to mistakes are key in building lasting relationships with clients. To avoid similar situations in the future, I improved the quality control process, which now looks as follows:
- Establish quality criteria with the client before each order.
- Conduct detailed quality control of products received from the manufacturer, covering 100% of the products.
- Send a quality control report to the client for approval.
- Ship the order only after the client approves the report.
This systematic approach to quality control is how we operate at Woodiq today, ensuring we consistently deliver products that meet our high standards and exceed our client’s expectations.
